How is the Harbor to the Bay Ride related to the past AIDS Rides?

Harbor to the Bay (H2B) is an entirely separate entity from the former Pallotta AIDS Ride.

H2B is a 501(c)(3) IRS non-profit organization that has no paid staff, no employees, and is run entirely by volunteer efforts. H2B has donated 100% of all participant-received pledges to our beneficiaries. Our financial records are available for public review on the Guidestar.org website. Our operating expenses (postage, signage, accountant fees, etc) are paid by our for-profit sponsors (including Diageo, the parent company of Tanqueray.) Diageo and Tanqueray have generously agreed to sponsor H2B after meeting with our core volunteers and reviewing our business model (which includes transparent access to our financial statements.)

The Pallotta Rides are no longer run due to financial misgivings of the event coordinator (which was not a 501(c)(3) charity.) The beneficiaries of the AIDS Rides were greatly disappointed by the collapse, because of their substantial revenue-generating success. However, when the amount actually donated to beneficiaries fell below 20% of total revenue raised, the beneficiaries felt the costs (over 80% of revenue) were too high, relative to the final donation to charity.

H2B is hoping to recapture the successful fundraising levels of the original AIDS Ride, while leveraging an all-volunteer model that keeps costs as low as possible. By executing the H2B Ride as a one-day event with no paid employees, H2B has donated over 85% of total revenue raised (Total Revenue is the sum of both participant pledges as well as sponsor donations for operating expenses.) When considering only revenue generated by participant pledges, H2B has actually donated 100.05% to our beneficiaries.

How many people are expected to participate?

This year we will cut off registration at 350 riders. We expect to reach this number well before the ride date as we did in 2008, so please do not wait until the last minute to register if you wish to ride this year.

What if it rains on the Ride?

If rain is predicted for the day of the Ride, our core volunteers will decide on the severity of the weather, and how it may impact our riders' safety. If there is any chance that rider safety will be compromised by weather, the ride will be cancelled and we will travel directly to Provincetown to celebrate our fundraising success! I can't login. Why won't my User name and password work?

Our website uses Java, JavaScript and Session Cookies. If you disable scripting in your browser's settings, you may not have access to most of the functionality and some of the content on this site.

How do I use my own photo or image on my personal donation page?

You can now upload your own photo or image to the website. Images are automatically resized to be no more than 250 pixels wide so that they fit in the space provided. You are limited to uploading images that are no more than 1 megabyte in size. If you have problems using the upload feature you may submit your photo to personalphoto@harbortothebay.org. You are limited to one photo on the personal page at a time.

Can I have more than one photo on my personal donation page?

At this time, you can only use one photo on your personal donation page.

What is the RSS News Feed?

Subscribing to our RSS News Feed is a way to keep informed about what's happening at Harbor to the Bay such as fundraising and other events, without joining a mailing list.

Why don't I receive an email when I click on "forgot password" link on the log-in page?

You must use the email address or user name you used when you registered for the ride. The password will be sent to the email address that is currently listed in the database.

Do I need Excel installed on my computer to use the "Export to Excel" function on my personal donation report?

Yes, you will need Excel to use this feature.

How can I see who has donated to me?

Login to the site using your user name and password. You will see a link to the Fundraising Report in the list of options that appears in the login area. This will allow you to view your donor list and contact information and any amounts having been donated.

REGISTRATION RELATED

What does my Registration Fee pay for?

Your Registration Fee ($25 for Crew, $50 for Riders) will be used to cover the costs of providing:

  • Meals on the day of the ride, including: Refreshments at the pit stops, dinner at the Closing Ceremony, and Sunday brunch
  • Emergency supplies and communications equipment for the ride route
  • Police safety details in critical intersections along the route
  • Permits for riding through some towns along the route
  • One H2B T-Shirt for the Closing Ceremony
  • Insurance for the H2B event
  • 'Porta Potties' for the route

Why must I provide an email address to register?

Your email address is used for communicating with you about important details about the ride. We will not share your personal information with any other person or entity.

Can I use the same email address for more than one person?

Yes, beginning in 2008 we have changed over to using a Username of your choice instead of your email address. You must use a unique username for each registration as this is used as your user ID to log into the website, however you may share email addresses.

I did the ride last year. Can I keep the same rider/crew number?

Rider numbers are not carried over from year to year. Crew members are no longer assigned numbers.

I did the ride last year. Why did I receive a new rider/crew number when I registered this year?

You must use the email address you used when you first registered and the same password to renew a previous years registration. A different email address or password will create a brand new registration and provide the next rider or crew number available.

My email address changed? Can I change this myself from the website?

Yes, you can change your email address as well as other information in your profile.

What costs will there be for me during the event?

Very few, if any. Once you are on the event snacks, lunch, dinner and even some entertainment are provided for you. You will need some pocket money for incidentals, Ride merchandise or bike accessories if needed. The cost of minor repairs (flat tires, broken spokes) will be covered by our Bike Tech Sponsors.

How do I get my myself and my bike back to Boston?

Each rider and crew member is responsible for their return transportation. Boston Harbor Cruises has generously offered a discount for our participants, including their bicycles and luggage. Please call BHC at 877-733-9425 to purchase your ticket (please note, the discount is not available online.)

What if I can't finish the route when I'm on the Ride?

Although we suspect that you will surprise yourself as you train for the Ride, we aren’t going to leave you stranded along the route. We have an entire team of crew members dedicated to “sweeping” the route. That means there will be someone to pick you up and take you to the next Pit Stop or into Provincetown.

What is a Personal Page?

It's the easiest way to raise money! A personal page is an online tool for your use when asking your friends and family to sponsor you by making a donation. Once you register online, by default, you will have a personal page created for you. You have the option of personalizing this page by uploading your own photo or image and changing the default message.

I'm a crew member. Can I still get donations?

Crew members are not required to raise a minimum amount however they are welcome to raise as much as they can. They can participate in any fundraising incentives, such as the Jet Blue Ride + Fly promotion.

Can crew members be on teams or are teams just for riders?

Teams are for both riders and crew members.

Can crew members be on teams or are teams just for riders?

Both Riders and Crew members are both encouraged to create and/or join teams.

Do all members of a team have to support the same beneficiary?

No, members of a team can support different beneficiaries. Some teams may have been created to support a specific beneficiary but the web site does not restrict this.

Can a donation be made to a team instead of an individual?

Yes, donations can be made to individual riders or crew members, Teams, and beneficiaries including the general fund.

As a team, we raised enough donations to more than cover each team member but some individual team members did not raise the $500 minumum. Will they be charged the difference?

The team fundraising total is divided by the number of team members. If the team total covers each member's individual fundraising minimum (currently $500 for 2009), any team members who have not raised the minimum will not be charged.

Can I change my team selection at anytime?

You can form a new team or join an existing team at any time when you are logged in to the website.

DONATION RELATED

If I mail my donation, how long will it take to show up on the website?

Your donation must reach the Ride Office and be entered into the database before it shows up online. This can take from several days to several weeks depending on how fast the mail gets to us and how many donations we need to enter. We encourage everyone to use our website to make a donation. This will ensure it is applied properly and we are able to read your address in order to send you a thank you note and a tax letter at the end of the year.

How is the General Fund distributed between the beneficiaries?

100% of the General Fund (GF) is distributed to the four beneficiaries of the H2B Ride.

  • The General Fund is split between Fenway, ASGCC, CRI, and AAC, based on the total fundraising dollars that are raised by participants who do specify which beneficiary they ride in support of.
    • The total dollars raised include those raised by both crew members and riders.
    • Therefore, the more people who specify a single charity to support, the more that charity will receive from the General Fund
  • No amount of the General Fund will be used to cover operating costs of the Harbor to the Bay Ride. 100% goes to charity.
  • Participants are able to select a single beneficiary to support when registering for H2B, if he/she is uncomfortable with the distribution percentages described above.
  • If a participant specifies a single charity to support, 100% of their funds raised will be donated only to their specified charity. No amount of the funds raised will be donated to any other H2B charity.

Can a donation be made to a team instead of an individual?

Yes, donations can be made to individual riders and crew members, teams and beneficiaries including the general fund.

Can I make a donation to several individuals in the same transaction?

Yes, the new shopping cart feature allows donations to multiple riders or crew as well as teams and beneficiaries in one transaction.

Can I send one check and have it apply to 2 or more riders?

Yes, we will do this for you. Please fill out a seperate pledge sheet for each participant or be very clear how much is to be applied to each.

Are you a 501(c)(3) not for profit event?

How do I enter in offline gifts?

Offline gifts must be entered by the Ride Office and are NOT reflected in your fundraising total until the Ride Office has received and posted them. Once received and posted, your offline gifts will be reflected in your total fundraising amount online. You can mail these to: Harbor to the Bay Ride, PO Box 990243, Boston, MA 02199. Please allow 2 to 3 weeks for offline gifts to be posted to your account.

How can I download a paper donation form for an offline donation?

First we need you to know that donating online using our website is not only safe, but it is the easiest and quickest way for your donation to be processed. However, if you still need a paper donation form you can download it by clicking here. (You will need Free Adobe Acrobat.)

Is my credit card information secure?

Our website provider has made every effort to protect your information. They use industry-standard SSL encryption techniques to make sure your credit card information, passwords and personal information travel securely over the Internet.

How is my credit card handled?

Credit card information is not stored in our database. During the donation process, we send your credit card information to an online processing terminal using a secure connection. The information passed back is an approval or denial for the credit card donation.

Do you accept matching gift forms?

We do accept matching gifts. If you make a donation online please mail the Ride office the completed matching gift form and the donation information (donation amount, date donation was made, participant name donation was made to). What will the beneficiaries do with the money raised?

TRAINING AND SAFETY RELATED

Do I need to sign up for a training ride or can I just show up at the time and place of the ride?

We would like to know ahead of time how many riders to expect for a training ride, however everyone is welcome and we will not turn you away if you just show up.

What equipment is recommended for riders?

H2B strongly recommends that beginner and intermediate riders do not ride a mountain bike for the day of the H2B Ride. Hybrid bicycles and road bicycles have less rolling-resistance, and are dramatically lighter and more efficient bikes that will make your ride to Provincetown much easier. A hybrid or road bike can be rented for very low cost from our Bike Shop Sponsors' stores. Even those participants who are in good physical shape, but are not experienced distance-riders, are encouraged to rent a hybrid or road bike. H2B also strongly encourages riders to wear padded bicycle shorts for the day of the ride. The ride is a physically-intensive event, and the distance can cause soreness or chafing of the thighs. Discounts are available for padded shorts in our Bike Shop Sponsors' stores. Sweat-wicking clothing and sunscreen are also recommended for all participants, to ensure your comfort for the event.
